We welcome non-profit organizations, businesses, agencies, civic and professional organizations to host events on our campus.
Submitting a Reservation
We strongly advise that you read our Facilities Use Guidelines before you submit a reservation. To submit a request please fill out the Room Request Form. Requests must be submitted a minimum of 21 days in advance however if it requires a special set up a 30 day notice is required.
All events on campus must utilize ECI management to for catering.. Events where alcoholic beverages will be sold, provided or consumed must be approved by the Executive Vice President of Administration at least 10 days prior to the event using the Alcohol Use Request Form.
Security & Risk Management
All groups are required to provide adequate security as required by the University. Generally, events with 100 or more attendees are required to have security. All events that include details which may pose a risk to the University will be required to consult with Risk Management and or attend a scheduled meeting to review details prior to the event. To request security for the event, fill out the Security Staffing Request Form. Costs for security services will be charged to the user.
Events Involving Minors
Events involving minors must be approved by Risk Management before the reservation can be confirmed. Staff, faculty, or students working with any program or event must have a current background check completed and successfully complete Sexual Assault Child Molestation Awareness Training before hosting the event.

Special Event Parking
The University will provide areas designated for special event parking when approved in advance by Parking Services at an additional cost.
Information on visitor parking, how visitors get parking passes, and any associated costs for parking is available on the Parking Services website at: https://police.untdallas.edu/parking-office. Parking Services is located in the first floor of Founders Hall. Hours of operation are 9:00 a.m. to 5:30 p.m., Monday through Friday.
Other Required Documents for Off Campus Groups
- Commercial general liability coverage with a minimum of $1,000,000 per occurrence/ $2,000,000 aggregate.
- For Non-profit Organizations- a copy of your 501c3 documentation in order to receive hourly rate discount.
