Policies Relating to Midterm and Final Examinations
Grading of Midterm and Final Examinations is anonymous, unless the nature of the class or exam makes anonymity not feasible. To ensure anonymity in grading (in all but the courses in which anonymous grading is not possible), the following steps are in place:
- Students receive anonymous ID numbers from the Registrar.
- Faculty members grade exams (whether on hard copy or through ExamSoft) when the ID numbers only are visible.
- When a faculty member completes the grading of the midterm or final, the faculty member must send, to the Associate Dean for Academic Affairs, a list of exam numbers and the grade. This process should be followed whether or not the professor gives a “score” on the exam or a letter grade. Further, this process should be followed whether or not a grade on the midterm will be reported in EIS through the Registrar. Thus, “anonymity” should remain “on” until the scoring/grading is complete.
- Faculty members may not take any steps to compromise or undercut the anonymity of grading final exams or midterm exams.
- Students may not take any action or make any request or comment that compromises or undercuts anonymity. Thus, students should not place their name anywhere on exams, indicate anything about their performance (such as telling the professor that “I did not finish question 3”), or direct any rescheduling request to the professor rather than to the Registrar.
- Midterm and Final Exams: Scheduled Day, and Rescheduling
Other than as stated in this policy, a student may not take a final examination or a midterm examination at a time other than the regularly scheduled time. Failure to take an examination on the regularly scheduled day, or on the day set for an exam that is rescheduled under this policy, will result in a failing grade for the examination unless the student receives approval from the Associate Dean for Academic Affairs for a different result for good cause shown.
Rescheduling requests submitted before the start of the examination period.
A student may request to change an examination date under the following circumstances:
- The student has an illness that is sufficiently severe to prevent the student from taking the exam at the scheduled time. Medical documentation is required for any application of this provision. A request to reschedule under this provision must be submitted as soon as practicable after the student becomes aware of the illness.
- The student experiences an unpreventable extraordinary circumstance, such as an accident or a death in the immediate family, that would cause the taking of the exam
at the scheduled time to be a major personal hardship for the student. Appropriate documentation is required for any application of this provision. Work schedules, vacation plans, or travel arrangements do not qualify as a basis for rescheduling. If the reason for the request is extraordinary circumstances, the request must be submitted as soon as practicable after the student becomes aware of the extraordinary circumstance.
- The student has an actual conflict (2 or more exams scheduled at overlapping times), more than 2 final exams scheduled on the same day, or less than 2 hours between the end of one final exam and the beginning of the next on the same day. For midterms, rescheduling is permitted only if there is an actual conflict or less than 30 minutes between midterm exams. A rescheduling request for this reason must be submitted at least two weeks before the start of the exam period in which the conflict exists.
If a student seeks to reschedule an examination under any of these provisions, the student must submit his or her request to the Associate Dean for Academic Affairs by completing and submitting to an Exam Rescheduling Request Form. The request can be submitted in hard copy or via email to the Associate Dean for Academic Affairs.
If the Assistant Dean of Academic Affairs approves the request, the Office of the Registrar will be notified and the exam will be rescheduled.
If an examination is rescheduled, the instructor may, in his or her discretion, require the student to take a special final examination or submit a special paper. If this occurs, the instructor may, in his or her discretion, grade the examination or paper either on a credit/no credit basis or on the same numerical basis as the other exams or papers.
Rescheduling requests submitted after the start of the examination period.
A student may request to change an examination date during the examination period to the scheduled date under the following circumstances:
- The student is seriously ill on the examination day and unable to take the exam, and presents medical documentation confirming the illness.
- The student experienced an emergency (examples would be the death of a close relative or a car accident), and presents documentation of the emergency.
The student must submit his or her request to the Associate Dean for Academic Affairs by completing and submitting an Exam Rescheduling Request Form. The request should not be submitted to the professor or instructor in the course. If the Associate Dean for Academic Affairs approves the request, the examination will be rescheduled.
If the request to take an exam at other than the scheduled time presents problems relating to delivering the same exam to the student as the other students will take, instructor may, in his or her discretion, require the student to take a special final examination or submit a special paper. If this occurs, the instructor may, in his or her discretion, grade the examination or paper either on a credit/no credit basis or on the same numerical basis as the other exams or papers.
- Exam Day Rules and Procedures
Exams begin at the scheduled time. Be sure to arrive 15 to 20 minutes early so that you can set up your laptop and other materials. The exam will begin at the appointed time.
Permitted items. Students are permitted to have the following items and materials at their seats with them during the exam:
- Laptop computer
- Materials that the Professor in the course has authorized you to have (if there are any such items)
- Pens, pencils, highlighters
- Billfolds, keys, keycards
- Food and beverages (though not anything that is messy or distracting in smell)
- Prescription eyeglasses, but not eyeglass cases or any dark glasses or sunglasses
- Jacket or sweater
- Doctor-prescribed medications and medical devices
- Other items described in an accommodations request approved through the Office of Student Affairs.
Not permitted. Other than the items listed above, students are not permitted to have items or materials at their seats with them during the exam.
Items not permitted will be stored at the front of the examination room, and students may not access them during the exam. Items that are not permitted include (but are not necessarily limited to):
- Cell phone of any type
- Any books, notes, or other materials not permitted by the professor
- Digital music player or recorder of any sort
- Other digital devices
- Any “wearable” technology
- Digital watches or “smart” watches
- Cameras or recorders
- Headphones, earbuds, or any sound suppression device other than earplugs
Distracting noises can come from digital devices even when they are in “silent” mode. Thus, all digital devices (including cell phones) placed at the front of the room must be turned off, even if they are stored in backpacks. To ensure that students can be contacted in an emergency, students will be able to provide others (such as family members) with a phone number that will reach the designated emergency contact person for that portion of the exam period.
If the exam is closed book, students must place all books, papers, notes, backpacks, folders, etc. to the front of the room or the location in the room designated by the proctor.
